Pete's Basket — Sales Reporting & Accounting Automation

1. Overview

Pete's Basket ("the Application") is a private, business-use software application developed and operated by APC Consulting on behalf of Pete's Produce. The Application is used exclusively for internal sales reporting and accounting automation purposes and is not available to the general public.

This Privacy Policy explains how Pete's Basket collects, uses, and protects information in connection with its operation.

2. Information We Collect

Pete's Basket collects and processes the following categories of information:

  • Sales Data: Daily point-of-sale transaction data imported from CSV files, including department sales figures, tender totals, and transaction summaries.
  • Accounting Data: Journal entries, account mappings, and financial records generated from sales data and synced with QuickBooks.
  • Authentication Credentials: OAuth tokens for QuickBooks and Dropbox integrations, stored securely in the database.
  • User Account Information: Name and email address of authorized application users.
  • Processing Logs: Records of file processing activity, including success and error statuses.

The Application does not collect, store, or process any personal data belonging to Pete's Produce customers. All data processed is aggregate sales and accounting information only.

3. How We Use Information

Information collected by Pete's Basket is used solely for the following purposes:

  • Generating balanced journal entries for QuickBooks from daily sales CSV files
  • Providing sales analytics dashboards and reports for store management
  • Automating file retrieval from Dropbox and archiving processed files
  • Maintaining processing logs for auditing and troubleshooting
  • Authenticating authorized users and maintaining secure sessions

4. Third-Party Integrations

Pete's Basket integrates with the following third-party services:

  • Intuit QuickBooks: Used to post journal entries to Pete's Produce's QuickBooks accounts. Data shared is limited to accounting entries derived from sales data. Governed by Intuit's Privacy Statement.
  • Dropbox: Used to retrieve daily sales CSV files and archive processed files. Governed by Dropbox's Privacy Policy.

We do not sell, rent, or share data with any other third parties.

5. Data Storage & Security

All application data is stored on secured cloud infrastructure provided by Laravel Cloud. OAuth tokens are stored in an encrypted database and are accessible only to authorized application processes. Access to the Application is restricted to authenticated users only.

We implement industry-standard security measures including HTTPS encryption for all data in transit, secure credential storage, and access controls limiting data to authorized personnel.

6. Data Retention

Sales data, journal entries, and processing logs are retained for accounting and auditing purposes in accordance with standard business record-keeping practices. OAuth tokens are retained only as long as the associated integration remains active and are invalidated upon disconnection.

7. Access & Control

Pete's Basket is a private application. Access is limited to authorized personnel of Pete's Produce and APC Consulting. There is no public registration or self-service access. Authorized users may contact APC Consulting to request modification or deletion of their user account information.

8. Changes to This Policy

This Privacy Policy may be updated from time to time to reflect changes in the Application's functionality or legal requirements. Continued use of the Application following any changes constitutes acceptance of the updated policy.
